VoteKiosk is operated by Inspiration & Trust Inc. ("VoteKiosk", "we", "us"). This policy explains what information we collect when an organization ("Client") uses VoteKiosk to run an election, and when a voter participates in one, and how that information is used.
1. Who this applies to
VoteKiosk is a business-to-business service. Our direct customers are organizations — associations, AGMs, professional bodies, clubs, co-ops, and similar groups — that use VoteKiosk to run their own elections. Voters interact with VoteKiosk because a Client has invited them to vote in that Client's election.
2. Information we collect
We collect two categories of information:
- Client account information: the name, email address, and role of administrators and officers who manage an election.
- Voter roll information, supplied by the Client: typically a name and an email address and/or phone number, used solely to verify that a specific person is entitled to vote in a specific election and to deliver that person's one-time voting access code.
3. How we use phone numbers and email addresses
A phone number or email address on a voter roll is used only to send a one-time verification code so that person can access their ballot, and, where enabled, to send status updates related to that specific election (for example, a reminder that voting is open). We do not use voter contact information for marketing, and we do not sell, rent, or share it with any third party for their own purposes. Each Client is responsible for having the right to contact the people on their own voter roll — VoteKiosk does not build, buy, or supply contact lists.
SMS one-time codes are sent through a licensed messaging provider under a standard account-verification/OTP use case. Message frequency depends entirely on how many times a given voter requests an access code for an election they are eligible to vote in — typically one or two messages per election. Standard message and data rates may apply. A voter who no longer wishes to receive codes for a given election should contact the Client organization running that election, since removal from the roll is controlled by the Client, not by VoteKiosk directly.
4. Ballot secrecy
VoteKiosk is built so that a voter's identity and their ballot selections are never linked in a way that can be queried or reported. We record that a specific voter has voted, and we record ballot selections separately and anonymously — never both together. This is an architectural property of the platform, not just an internal policy.
5. Data security
Voter names, emails, and phone numbers are encrypted at rest. One-time codes are never stored in plain text — only a cryptographic hash sufficient to verify a code, never to recover it. Access to a Client's data is restricted to that Client's own administrators and to VoteKiosk personnel who require it to operate the service.
6. Data retention
Voter roll and election data is retained for as long as the Client's account is active, or as needed to preserve the record of a completed election, and is deleted or anonymized on request once no longer required, subject to any recordkeeping obligations the Client itself may have under their own governing rules.
7. Your rights
If you are a voter and have questions about how your information was used in a specific election, please contact the organization that ran that election first, since they control the roll. You may also contact us directly at support@votekiosk.com and we will assist or direct your request appropriately.
8. Changes to this policy
We may update this policy as the service evolves. Material changes will be reflected by updating the date at the top of this page.
